Program Assistant

The Program Assistant - TPI will coordinate various aspects of scholarship, awards, and other programs that TPI operates on behalf of clients. S/he will support philanthropic advisors and partners with the organization, management, and tracking of ongoing projects and initiatives. The Program Assistant will participate on project teams and provide administrative and research support on various projects that support TPI’s goals and strategies.

Essential Functions:

  • Handle database management
  • Organize conferences, meetings and events, including identifying sites, communicating with participants, making arrangements, organizing and facilitating off-site events
  • Schedule meetings and conference calls
  • Provide support for grant and scholarship programs, including large mailings, proposal tracking, and communications with applicants, grantees, and scholarship recipients
  • Assist with the screening of grant proposals, due diligence and other grants management activities
  • Respond to telephone inquiries; conduct Internet and library research
  • Draft, edit and format reports, presentations, meeting minutes and other materials
  • Assist with travel arrangements, scheduling and filing
  • Organize client and other files
  • Perform relevant record-keeping and administrative tasks
  • Perform other duties and projects as assigned
  • Maintain regular attendance

 

Required Education, Experience, and Skills:

  • Bachelor’s degree
  • One to two years of work experience in an office setting
  • Outside conference/event scheduling and organizing experience preferred
  • Helpful to have interest/experience in education, scholarship programs and college access and success
  • Strong computer skills utilizing Microsoft Office products including Access, Word, PowerPoint, Outlook and Excel, as well as Internet research
  • Able to take initiative and be resourceful; problem-solver
  • Resourceful, motivated and able to work independently
  • Excellent organizational and planning skills
  • Very strong attention to detail
  • Strong research, writing, proofreading and basic editing skills
  • Excellent written and oral communication skills
  • Demonstrated ability to handle multiple tasks, organize and manage projects with multiple components, and implement complex activities
  • Strong interpersonal skills; able to interact well with a diverse range of people and work as part of a team
  • Able to work under the pressure of tight deadlines
  • Good sense of humor and willingness to be flexible
  • Participative work style and ability to interact well with a diverse range of people
